About Credit Guardian

How is Credit Guardian different to a credit report?

A credit report gives you a one-off snapshot of insight into a company.

Credit Guardian allows you to see all the information contained in a traditional credit report but also includes data that is exclusive to Experian. Also included is the ability to monitor a company that you’ve run a credit report on, for up to a year. You can integrate all this data with your accounts package to see your customers and suppliers payment performance and monitor how these companies pay you. As well as all that, you will also receive an automatic weekly email highlighting and alerting you of any areas and companies that you should keep an eye on. This acts as an early warning system to ensure you have the best chance of getting paid in full and on time. All this at a fraction of the price of a traditional credit report, the information is always up to date and you’re in control. Back to top

How do I buy Credit Guardian?

There are two ways to buy Credit Guardian, both start with downloading and installing the free trial. After doing this, you can purchase from Experian by calling 0844 481 4800. Alternatively, you can purchase directly from within the Credit Guardian software. Simply click on 'Purchase a subscription' on the Start Page after completing the setup and configuration and follow the onscreen instructions. Back to top

Do I have to pay every time I use Credit Guardian to check a company?

No. Unlike a credit report, you pay a subscription to Credit Guardian that allows you to access information as many times as you want, at no extra cost. Back to top

How does Credit Guardian help me protect my company?

In addition to helping you make the right decisions regarding new suppliers, customers and prospects you can also use Credit Guardian to monitor your own company to see if any unauthorised changes have been made. For example, has someone added or resigned a director? Changed your company’s registered address? These are things you need to know about immediately so you can act. Back to top

Can I monitor a non-UK company?

Credit Guardian provides information on over 5 million UK businesses only. Businesses outside of the UK cannot be monitored. Back to top

Can I get credit information on individuals?

Credit Guardian provides information on over 5 million UK businesses but not individuals. Information on directors, company secretaries and shareholders is included in the monitoring though. Back to top

Do I need accounting software to use Credit Guardian?

No. Credit Guardian can be used as a stand-alone application to monitor customers, prospects and supplilers. Back to top

What accounting systems does Credit Guardian work with?

Credit Guardian works with the following accounts software:

  • Sage Line 50 V11, and V12
  • Sage 50 2007, Sage 50 2008 and Sage 50 2009
  • Sage MMS V1, V2, V3 and V3.5
  • Sage 200 V4.1 and above
  • Sage 200 2009
  • Sage Line 100

We are also working on integrating Credit Guardian to the following accounts software:

  • Microsoft Dynamics NAV v4, v5 and 2009
  • Microsoft Dynamics GP v9 and v10

How many companies can I run reports on and monitor?

You decide. Credit Guardian can be used to monitor and track 50, 100, 250, 500, 1000 or 2500 companies. The number of companies you choose to monitor will decide which subscription package you require. If you want to monitor more than 2500 companies, please contact us to discuss your requirements. How do I link Credit Guardian to my accounting system?

You can link Credit Guardian to your accounts system at any time by following the instructions within the software. Back to top

What if I exceed the maximum number of companies I can monitor before the end of my 12 month subscription?

You can upgrade your account or take out a new contract at any time should you use your maximum allowance. You're not restricted. Back to top

I am receiving the message ‘Connect to Credit Guardian server’. What should I do?

Credit Guardian requires an internet connection to access Experian’s information. If your computer does not have Internet access then someone else with Internet access will need Credit Guardian on their computer to update the business information and receive email alerts. Back to top

What do I do if the company I am monitoring is a subsidiary of another company?

You can view parent company information via the ‘Company information’ tab or click on the registration number to monitor the parent company directly. Back to top

Should I monitor the parent companies of companies I deal with?

Yes. If a parent company fails it will affect the whole group. Trading with a subsidiary without checking and monitoring the parent company could expose you to unnecessary risks. You should run a company check report with Credit Guardian on parent companies you want to deal with. You will then be given the option to monitor that company. Back to top

How can I see which of my customers / debtors is most at risk?

Yes. If a parent company fails it will affect the whole group. Trading with a subsidiary without checking and monitoring the parent company could expose you to unnecessary risks. You should run a company check report with Credit Guardian on parent companies you want to deal with. You will then be given the option to monitor that company filter the accounts you wish to see and in order of risk. (Please note; this information is only available if you have linked Credit Guardian with your accounts package). Back to top

How do I control who has access to purchasing company information?

You can set a user to be a 'Non-subscriber'. This allows these users to interact with existing companies but prevents them monitoring new ones. Back to top

Can I link a prospective customer / supplier I am monitoring to my accounting system?

Yes. Once you start trading with a prospective company simply select ‘Import a trading account’, select the company from the list and click on the ‘binoculars’. Credit Guardian will search for the company and you can select it, and start monitoring. Back to top

How do I see how well I am being paid?

Link Credit Guardian to your accounting system and use the dashboards to see your own ‘days beyond terms’ averages. Back to top

I’ve just started monitoring a company. Why is there no credit limit history / credit rating history / risk score history information?

This information will build up over time as you monitor companies. Back to top

Where does Credit Guardian get its company information?

Credit Guardian uses information from Experian’s industry leading business information databases. Details such as balance, turnover and pay performance are also merged with our information if you’ve linked Credit Guardian to your accounts software. Back to top

What is a dataset?

A 'Dataset' describes a set of company accounts, comprising sales and purchase accounts and normally a nominal or general ledger. For example, someone with two businesses that are run through the same accounting system is said to have two ‘datasets’. Back to top
